FarmerSoft (Pty) Ltd ("FarmerSoft", "we", "us", or "our") is committed to protecting your personal information. This Privacy Policy explains how we collect, use, store, and protect your data when you use the FarmerSoft mobile application ("the App") and related services.

This policy complies with the Protection of Personal Information Act, 2013 (POPIA) of South Africa, as well as the requirements of the Apple App Store and Google Play Store.

1. Information We Collect

Account Information

When you register, we collect:

• Your name
• Email address
• Password (stored in hashed form only)
• Phone number (optional)

Farm and Livestock Data

To provide the core functionality of the App, we collect and store:

• Farm names and details
• Camp/paddock information
• Animal records (species, breed, identification, weight history, age)
• Breeding records (mating, pregnancy, births)
• Health records (treatments, vaccinations, dosing)
• Task and operational records

Location Data

With your explicit permission, we collect GPS coordinates to record farm and camp locations. Location data is only captured when you actively use this feature. We do not track your location in the background.

Photos

With your permission, you may capture or select photos of animals and farm assets. These photos are stored locally on your device and synchronised to our servers when connectivity is available.

Device Information

We collect device tokens for the purpose of sending push notifications, which you may enable or disable at any time through your device settings.

2. How We Use Your Information

We use your information solely to:

• Provide and operate the FarmerSoft farm management service
• Synchronise your data between your device and our servers
• Authenticate your account and maintain security
• Send you notifications related to your farm operations (if enabled)
• Provide technical support
• Improve the App through aggregated, anonymised usage insights

3. Data Storage and Security

Local Storage

The App stores your data locally on your device using an encrypted SQLite database. This allows you to use the App fully offline. Your login credentials are stored securely using your device's secure storage (Keychain on iOS, Keystore on Android).

Server Storage

When connectivity is available, your data is synchronised to our servers hosted in a secure data centre. We use PostgreSQL databases with industry-standard encryption for data at rest and in transit (TLS/SSL).

Security Measures

• All data transmitted between the App and our servers is encrypted using HTTPS/TLS
• Passwords are hashed using bcrypt and are never stored in plain text
• Access to our servers is restricted and monitored
• Authentication tokens expire and must be refreshed

4. Data Sharing

We do not sell, rent, or trade your personal information to any third party.

We may share your data only in the following circumstances:

• Within your organisation: Other users within your FarmerSoft tenant (farm/organisation) may access shared farm data based on their assigned role (owner, admin, manager, or worker).
• Legal requirements: If required by South African law, court order, or regulatory authority.
• With your consent: If you explicitly authorise us to share specific information.

We do not use any third-party analytics, advertising, or tracking services within the App.

5. Data Retention

We retain your data for as long as your account is active. If you request account deletion, we will remove your personal information from our servers within 30 days. Anonymised, aggregated data that cannot identify you may be retained for analytical purposes.

6. Your Rights Under POPIA

As a data subject under the Protection of Personal Information Act, you have the right to:

• Access your personal information held by us
• Correct any inaccurate or incomplete information
• Delete your personal information (request account deletion)
• Object to the processing of your information
• Withdraw consent for optional data collection (location, photos, notifications)
• Lodge a complaint with the Information Regulator of South Africa

7. Children's Privacy

The App is not intended for use by children under the age of 18. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can remove it.

8. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes through the App or via email. The "Last updated" date at the top of this page indicates when the policy was last revised.
